Instructions for Competitors
Competitors should note the following:
The Regatta is held in accordance with the British Rowing rules of racing and the British Rowing Row Safe code of practice for Water safety.
The full set of HWR rules can be viewed in the rules and regulations section. It is recommended that all competitors make themselves aware of the full set of rules.
Competitors are reminded that winners are asked to dress smartly with no kit for the presentation.
Only complete crews will be presented with their medals and the trophy. Each winning crew will be sent a commemorative photograph with the trophy at the presentation.
Photographs of all competitors including juniors will be taken during the regatta for identification and publicity purposes.
The event follows the British Rowing rules for drug testing.
1) Substitutions and Withdrawals.
1.1) Up to 50% of the crew may be substituted after the close of entries and before 9am on Monday 7th June. No oarswoman shall be substituted after this time without the consent of the committee.
1.2) No competitor may be substituted down an event category.
1.3) Any crew withdrawing from the regatta must do so in writing.
1.4) The Committee will examine the withdrawal of any crew after the close of entries and reserves the right to exclude the club from all other events at the regatta.
1.5) Any competitor withdrawing from an event will not be allowed to substitute into any other event at the regatta.
2) Registration.
2.1) A representative of the crew, or sculler, must report to the Entries Secretary not later than 45 minutes before their first race. Crews will be given an Entry Confirmation form, which will be used as a weight certificate for coxswains and lightweight competitors. (Lightweight competitors must also see note 3.4 below)
2.2) Racing licences with photo attached (or, in the case of crews from overseas, other acceptable documents) must be presented before numbers are issued.
2.3) All racing licences/photo ID must be handed in to the Entries Secretary before boating for finals otherwise the crew may be prevented from racing
2.4) Junior crews must leave a contactable telephone number of a coach or responsible adult with the Entries secretary, in accordance with the British Rowing Safeguarding and Protecting Children Guidance (SPCG11) Guidelines for rowing competitions.
3) Weighing In.
3.1) Coxswains must comply with British Rowing rule 2-3-7 (any necessary deadweight must be provided by the competitor).
3.2) All coxswains must report to the Control Commission, to be weighed before their first race on each day.
3.3) The Regatta reserves the right to re-weigh the coxswain and/or dead weight at any time during the regatta.
3.4) Lightweight competitors shall be weighed each day, not less than 1 hour and not more than 2 hours before the scheduled start time of the first race that day of the event in which they are entered. See British Rowing rule 2-3-6 and 3-3-1. Competitors with a bye are only required to weigh in on days when they are racing.
4) Safety and Circulation.
4.1) In order to avoid congestion in the starting area, crews may not boat more than 40 minutes before their race time.
4.2) Failure to observe the Circulation Pattern (see Circulation diagrams and accompanying documentation), or obey instructions from Marshals, may result in disqualification.
4.3) Time trials will be raced along of the course in a head style race.

4.6) In the event of delays to racing, the Start Marshal, in conjunction with Race Control, will instruct crews and Umpires of any action to be taken.
4.7) In the event of a dead heat the crews will re-row from The Start.
4.8) Any crew going further than 300m up-stream of the finish OR beyond the end of the warming up zone at the start may be disqualified. (see circulation diagram)
4.9) After finishing their race (at Remenham Club) crews must turn off the course onto the
4.10) All crews must boat from the Regatta rafts at Remenham Farm. Local club crews may obtain special permission to boat from their clubhouse. These crews must call in at the rafts on their way to the start for their boats to be inspected.
5) Practice Outings.
5.1) Practice outings are not permitted during the hours of racing and all crews must be off the water 30 minutes before the start of racing.
5.2) Safety boats will be in position 40 minutes before the start of racing and 30 minutes after racing has finished.
5.3) Boat racks will be available on the Regatta Site from 5pm Tuesday 15th June.
6) Boating at the Regatta
6.1) All crews MUST boat from the regatta site during the regatta unless permission in writing has been obtained from the Entries Secretary
6.2) Crews not storing their boats on the regatta site MUST NOT return to their host boathouse during the hours of racing unless permission in writing has been obtained from the Entries Secretary.
6.3) All boats must show a 6-digit identification code, if they fail to do so they may incur an official warning.
7) Removal of boats from racks on the regatta site
7.1) All boats must be removed from the racks on the regatta site by the end of Sunday 20th June or they will be removed at the competitors risk and expense.
8) Car Parking
Car parking tickets will be sent to the name appearing on the entry form as the contact for the club/crew. Car park tickets are issued as 3 for an eight, 2 for a four/quad, one for doubles/pairs, and singles. Car parking is in the

It is a condition of entry that clubs and competitors must take out their own third party insurance cover. Responsibility for loss or damage to their boats, equipment or other property on the Regatta site or elsewhere will not be accepted by the Regatta.
10) Race documentation
Copies of the draw, safety information and Welfare Statement and Plan where appropriate etc will be emailed to the contact given on the entry. Please ensure information is circulated as appropriate. Posted copies will be sent only if requested.

Welfare Statement and Plan. 2010 In accordance with the British Rowing Safeguarding and protecting Children Guidance (SPCG11) Guidelines for rowing competitions. Welfare Statement: The organising Committee of Henley Women’s Regatta believes that the welfare and well being of all children is paramount. All children, regardless of age, gender, ethnicity, religion or ability, have equal rights to safety and protection. All suspicious, concerns and allegations of harm will be taken seriously and responded to swiftly and appropriately. A welfare officer / coordinator for the competition will be appointed annually and will act as the point of contact for any concerns and allegations. Their contact number will be posted in the boating area on the finish notice board; available through Race control; and available form the First aid staff throughout the competition. This document will also cover vulnerable adults. The Welfare officer for the 2010 regatta is Diane Graham 07962 447471. Welfare Plan: 1) Reporting structure: The First point of contact is the Welfare officer / coordinator. The Welfare officer may then contact the Chairman of the Organising Committee if needed, via Race control. The safety advisor should be kept up to date with any incidents. The overall responsibility for decisions / disciplinary procedures lies with Chairman of the Organising Committee, after consultation with the Welfare officer and the Safety advisor. A matter should be reported to the police when appropriate. The Welfare officer / coordinator will be responsible for reporting the incident to the British Rowing child protection Officer. 2) Awareness: The Welfare statement and Plan will be sent to all junior entries. A clear notice regarding contacting the Welfare officer / coordinator will be available on the Regatta Results notice board. (See below). All personnel dealing with minors in rowing should be aware of the British Rowing information on Safeguarding and Protecting Children. All Officials should be aware of dealing with minors appropriately using the Row Safe document. The Safety advisor will be aware of the Welfare Statement and Safety plan. 3) Medical Provision: All the Medical staff will be sent the Welfare Statement and Plan and be given the contact details for the Welfare officer / coordinator. The contact number for the Welfare officer / coordinator will be posted in the boating area on the finish notice board; available through Race control; and available from the First aid staff throughout the competition. In an emergency Race control / Safety advisor / Welfare officer / coordinator may contact the emergency services using 999 4) Appropriate level of Security: The changing facilities available are individual and should not be a main cause for concern Volunteers and Officials may be briefed on being vigilant for anything suspicious e.g. someone unknown to the crews hanging around or tampering with equipment; People taking pictures near the changing facilities. 5) Missing persons: If a person has been missing for more than 30 minutes contact Race Control who will contact the Welfare officer / coordinator and the Safety Advisor. This may be performed via any official. Registration will have contact with Coaches, or person responsible for each Junior crew which can be collected when they register to collect their numbers. 6) Access to young people or their contact details: The Entries secretary (in registration); Start team and On water manager should undertake CRB checks. Any personnel having contact unsupervised with Juniors in an enclosed environment (if they have not had CRB Checks performed) should work in pairs. SPCG18a and b (Self declaration forms) or SPCG17 (reference for officials / volunteers) may be used. 7) Basic Training: All personnel working unsupervised with children should be familiar with the British Rowing Safeguarding and Protecting Children policy and the information it contains on good practice. 8) Personal contact details: Anyone who holds these details e.g the Entries secretary (in registration) and the On Water manager (for Stake-boat boys / girls) should be CRB Checked. 9) Photography: A copy of the British Rowing advice on photography (SPCG10) will be held in Race Control. A permission slip will be held in race control in the case of a photograph being used for publicity at a future date. (See below). Official photographers should be registered with Race Control. 10) Alcohol Henley Women’s Regatta supports the Challenge 25 proof of age scheme.
